Nobody is asking you to stop using WhatsApp. Your customers are there, and it is how trust is built. The problem is everything that lives only in the chat: the enquiry nobody replied to, the payment screenshot that cannot be found, the approval a manager gave on a Sunday night, the update a client keeps asking for.
The fix is rarely a big system on day one. Start with the area where you ticked the most, put a proper record there, and let WhatsApp keep doing what it does well.
