School result template: totals, positions, grades and report cards
Type each student's scores once. The broadsheet works out totals, averages, class positions and WAEC-style grades, and the report card fills itself for printing. No sign-up.
50 students · 10 subjects · works in Excel, Google Sheets and LibreOffice
Broadsheet
Scores for the whole class, with total, average, position, grade and remark on every row.
Grading key
A1 to F9 by default. Change the bands and every grade updates.
Subject sheet
Enter 1st CA, 2nd CA and exam separately, with subject positions.
Report card
Type a student number and print. Position shows as “3rd of 42”.
How to compute students' results in Excel
If you would rather build your own sheet, these are the formulas the template uses. Put students in rows and subjects in columns C to L, then copy each formula down the class.
1. Total
=SUM(C6:L6)Adds every subject score on the student's row.
2. Average
=ROUND(N6/COUNT(C6:L6),2)Divides by the subjects the student actually took, so a blank subject does not pull the average down.
3. Position
=RANK(O6,$O$6:$O$55)Ranks the average against the whole class. The dollar signs keep the class range fixed when you copy the formula down. Ties share a position, and the next student skips one (1st, 2nd, 2nd, 4th).
4. 1st, 2nd, 3rd
=P6&IF(AND(MOD(P6,100)>=11,MOD(P6,100)<=13),"th",CHOOSE(MIN(MOD(P6,10)+1,5),"th","st","nd","rd","th"))Turns the position number into 1st, 2nd, 3rd, 11th, 22nd and so on.
5. Grade
=LOOKUP(O6,Grading!$A$4:$A$12,Grading!$B$4:$B$12)Looks the average up in a grading table (0 F9, 40 E8 … 75 A1). Change the table and every grade updates. Avoid long nested IFs; they break when the bands change.
Questions teachers ask
How do I calculate a student's position in Excel?
Use RANK on each student's average against the whole class range, for example =RANK(O6,$O$6:$O$55). Students with the same average get the same position. The template also turns the number into 1st, 2nd or 3rd for the report card.
Should position be based on total or average?
Use the average when students take different numbers of subjects, otherwise a student who takes one extra subject ranks higher simply for taking it. If every student takes the same subjects, total and average give the same order.
Does it work in Google Sheets or on a phone?
Yes. The template only uses formulas that work the same way in Excel, Google Sheets and LibreOffice. Upload it to Google Drive to use it on a phone.
Can I change the grading to A–F or my own bands?
Yes. Edit the Grading sheet: put the lowest score for each grade in order, smallest first. The broadsheet and report card pick up the change on their own.
Can it print report cards for the whole class at once?
No. You type one student's number and print, then the next. For a whole school every term, a school management system prints all report cards in one go and sends them to parents.
Doing this for every class, every term?
Let the system compute results and print every report card
FASS builds school systems where teachers enter scores once. Results, positions and report cards are produced for the whole school, parents see them online, and fee balances sit in the same place. Each one is quoted after we understand how your school runs.
